GEM’s Account Details

 

Adding Events in GEM’s

  1. Log into your account through FHIT Hockey Players Account
    1. GEM’s Account Link
    2. Use your designated email and password you created
  2. Once on your home page, there are 3 tabs located on top right of the screen.
    1. Click FHIT/MAP/MEGA tab
    2. Scroll down to “Activities” and click it
  3. On the activities display screen there will be two tabs above the list of activities: Add A New Session or Add A New Activity
  4. “Add A New Session”
    1. Click on “Add a new session” which will allow you to add a session to an already existing activity
    2. Search for the “Activity” you are looking for in the search bar
      1. Ex. Goalie Center
    3. On the right portion of the display of activities click on “Add session” which is a blue tab
    4. A drop down display screen will appear giving you access to put in details of the session
      1. Times, Dates, Locations, Attendees, Instructors, etc.
    5. Fill in all the details for the specific session
      1. Make sure to show the “MAX # OF ATTENDEES”
        1. This makes it easier for staff to see how many goalies are attending without clicking on the session
      2. For multiple of the same sessions, click on repeat sessions.
        1. This will allow you to repeat sessions for an extended period of time the activity is going
      3. Once finished, click save.
    6. Each session will be uploaded in the GEM’s schedule
      1. Double check to make sure the dates and times are correct in the GEM’s schedule by going back to the FHIT/MAP/MEGA tab listed above. Click on schedule and look for your specific activity.
  5. “Add A New Activity”
    1. Click on “Add a new activity” which will allow you to a product to GEM’s schedule
    2. A drop down display list will appear
      1. Add the product you want to use
      2. Click on “Members are required to use a credit for this activity”
      3. Type in the new activity name
      4. Activity display name isn’t needed
      5. Add a detailed description of the activity
      6. Select Workout & Ice Report
      7. Add Date/Times
      8. Add Max Number of Attendees
        1. Click “Show Number of Attendees”
      9. Add Facility Address and Location
      10. Repeat the activity for designated amount of time
      11. Press Save.
    3. Double check to see if the dates/times are correct for the activity on GEM’s schedule.
      1. Click the FHIT/MAP/MEGA tab listed above. Click on schedule and look for your specific activity.

 

Add Feedback to Members

  1. Log into GEM’s account
    1. GEM’s Account Link
  2. Click the FHIT/MAP/MEGA tab
    1. Press “Schedule”
  3. Go to the selected day you are working
  4. Click on the Activity for that day
  5. Click on the session you worked with the goalie(s)
  6. Once on the session display page scroll down to “Attendee Settings”
    1. Click on the 3rd button “Attendance”
  7. Once on the Attendance drop down display screen check in the goalies that attended the session by pressing the blank square located to the right of the goalies name
    1. Once you press that box, go to the box that says feedback located in the 4th column
    2. Leave the box blank if the goalie didn’t attend the session
    3. Press Feedback and add what you worked on plus any additional feedback you have for the goalie for that session.
    4. Add the instructors name to the feedback so if the parents have questions they know who to contact
    5. Once complete, press save on the bottom right of the display screen
  8. Once saved, a notification on the top of the page will say “Attendance has been saved”

 

Change Number of Attendee Spots

  1. Log into GEM’s account
    1. GEM’s Account Link
  2. Click the FHIT/MAP/MEGA tab
    1. Press “Schedule”
  3. Go to the selected day you are working
  4. Click on the Activity for that day
  5. Click on the session you worked with the goalie(s)
  6. Once on the session display page scroll down to “Basic Settings”
    1. Press “Edit Session”
  7. Once the “Edit Session” display screen drops down you can add/subtract number of goalies for the session
    1. Go to Max Attendees
    2. Change number to preferred amount you want for the session
    3. Make sure to click the box “Show Max Attendees” to let instructors and goalies see how many goalies are attending
  8. Once complete, press save on the bottom right of the display screen
  9. Confirm that you want to notify members for the change
  10.  Once saved, a notification on the top of the page will say “Session has been saved”

 

Checking Attendance/Waitlist and Contacting Waitlisters for the Session

  1. Log into GEM’s account
    1. GEM’s Account Link
  2. Click the FHIT/MAP/MEGA tab
    1. Press “Schedule”
  3. Go to the selected day you are working
  4. Click on the Activity for that day
  5. Click on the session your scheduled to work
    1. By scrolling by the session, a drop down box should appear showing how many goalies are attending the session
    2. If not, follow the guidelines below
  6. Once you click on the session, a display screen for the session will appear.
    1. In the basic setting box, there will be a column that says “Max Attendees”
      1. This will show you the number attending and the number of spots available
      2. If there are waitlisters, it should show up next to the number spots available
    2. In the attendee settings box, you can see the names of the goalies attending the session
      1. If there are goalies on the waitlist, scroll down to the waitlist box. This will show the names of the goalies on the waitlist
      2. If there are goalies on the cancelled list, scroll down to the cancelled box. This will show the names of the goalies who cancelled their session
  7. Notify goalies that are on the waitlist that if a spot opens up they will be bumped up into the session to attend.
    1. Otherwise, if no goalies who scheduled to attend cancel then the goalie on the waitlist can’t attend the session unless we get an extra coach.
      1. Try to find them another way to get on the ice
        1. Ex. Clinic, Goalie Center, Different Tier, etc.
      2. Text Player/Parent, Email Player/Parent, Call Player/Parent
        1. If they answer and want to skate find them different options
        2. If they answer and don’t want to skate then cancel them off the waitlist
        3. If they don’t answer, then wait till they respond.
          1. No one gets back to you before session then don’t worry about it
  8. If a goalie that’s scheduled cancels, notify the goalie on the waitlist that they can come
    1. If you don’t have contact information, located on GEM’s.
      1. Click FHIT/MAP/MEGA tab
        1. Press Members
      2. In the advanced search bar, type their name in (First & Last)
        1. Press Search
      3. Goalies name should appear in the display screen next to the “advanced search bar”
        1. Goalies contact information + parents contact information should be in the tabs next to goalies name
        2. If you can’t see any information, click on the players name
        3. It will bring you to the players homepage
        4. On the left side, scroll down to the “My Account” tab
          1. Click the “My Account” tab
        5. Scroll to the “My Information” box
          1. Press Contact Information
          2. Phone Numbers & Emails for Players/Parents will be located there
